Tip: add the biweekly studio meeting once with “Every 2 weeks” and it fills the next six months. Repeats are linked together, so removing one offers to remove the whole series. Click any day to jump the date field to it.
Faded entries are renewal dates projected from your recurring costs — they update themselves, so there is nothing to keep in sync by hand.

Record a contribution

Invested per member

Both routes to putting money in: a recorded contribution, and anything paid for personally where repayment was waived. Spend and Money are the same number here.

Quarterly tax estimates Federal due dates

A pass-through LLC pays no tax itself — members pay on their share, quarterly. These are the federal dates; add your state's separately if it has its own.

Budget vs actual this month

Set a monthly cap per category in Settings → Money. Categories without a cap are listed but not flagged.

1099 watch

Anyone the studio pays $600 or more in a calendar year generally needs a 1099-NEC, and you need their W-9 before you can file it. January is a bad time to start asking.

Mileage

Business miles at the IRS standard rate. Trips to shoots, meetings, and events count; commuting does not.

Spend

What we pay for on a schedule, and every payment that actually left the account.

A cap per spend category. Categories left blank are tracked but never flagged. Shows up under Money → Budget vs actual.

Trademark & brand

The registered name and mark, once chosen. Trademark protects the studio name, logo, and game titles — it is earned through use in commerce and is separate from copyright, so it holds regardless of how the artwork was produced.
Store links here rather than files — the console keeps its Firestore document small on purpose, and the quota is shared with World Forge. Renewal dates appear on the calendar automatically.

Studio links

Shared resources everyone needs: repo, Drive, bank, LLC filings, store pages. These appear in the header menu and on the dashboard.

The roster

This list drives everything: who counts toward a vote, who can approve spending, whose vesting is tracked, and who appears in every dropdown. Deactivating a member keeps their history and removes them from vote math.
MemberRoleJoinedMonthly dueStatus

Ownership pool

Each member earns up to this much by paying every month of the vesting window.
A member can be given a different amount on their roster entry.
No member's voting power exceeds this, however much they own.
Contribute less than this over the full window and the buyout process is flagged.
Share of profit set aside for member tax distributions.
Count partial payments toward vestingOff: a month only vests if the full required amount was paid. On: any payment vests the month.
Buyout floor is contributions returnedOff: buyout is strictly ownership × trailing revenue. On: whichever is greater.

Time clock rules

Catches a forgotten clock-out instead of letting it run forever.
Require a work log to clock outBlocks clocking out until something is written down.
Let members edit their own past shiftsOff: only Ops can correct a recorded shift.

Spending authority

Each tier covers amounts up to its limit. The last tier catches everything above the one before it.
Enforce these rulesOn: an expense stays pending until it has the required number of approvals. Off: the routing text is advisory only and any Ops member can approve alone.
A member may approve their own requestOff: whoever filed it cannot count as one of its approvers.
Require a receipt before approvalBlocks approval while the receipt is still marked missing.

Thresholds by category

What it takes to pass, per kind of decision. Counted against active members on the roster.

Vote behaviour

0 means no quorum requirement.
Close automatically once the threshold is reachedOff: votes stay open until everyone has voted or Ops closes them.
Allow changing a vote before closeOn: click a different option to switch.
Abstentions count toward quorum

Dropdown lists

Everything that appears in a picker anywhere in the console. Removing an entry leaves existing records untouched — it just stops being offered.

Calendar event types

Each type gets its own colour on the calendar.

Colours

These drive every accent in the console.

Behaviour

Background glow and starfieldTurn off for a flatter, faster page.
Compact densityTighter padding throughout.
Confirm before deletingOff: delete happens immediately, with an undo toast.

Install on this device

Adds the console to your home screen so it opens like any other app — full screen, its own icon, no address bar. Your sign-in is remembered, so it opens straight into the dashboard.

Connection

This console reads the whole studio collection when you sign in and when you return to the tab, and writes a single document each time you change a record. It never polls — the daily quota is shared with World Forge, and a polling loop here would take that app down too.

Backup & export

The JSON export is a complete snapshot — every collection plus your settings. Import merges by record id, so re-importing the same file twice will not duplicate anything.

Activity log

Approvals, deletions, payments, and settings changes — who did what, when.

Add a playtester

They sign in with their first name and the code, so a leaked code alone is not enough. The tester cannot load their profile until you confirm their NDA below — creating the code does not grant access on its own. On the expiry date the code stops working automatically.

Testers

Per-game test setup

Set once per game, shared by every tester granted access to it.

Test assignments

Specific things for one tester to try. Clock time comes back automatically, and anything tied to a value under test feeds the investigation it belongs to.

Tester notes

Free-form notes testers wrote against a game, separate from formal reports.

Incoming reports

Nothing here has touched your bug list yet. Accepting a report files it as a real bug with the project and severity you choose; dismissing keeps it on record without cluttering anything.

Step 1 — give Claude Code the current state

Copy this, run it in Claude Code against the project's source, and paste what comes back into step 2. It includes everything already tracked, so Claude Code knows what's new and what already exists.

Step 2 — paste what Claude Code gave you

JSON, either the array on its own or wrapped in a fenced block — both work. Nothing is written until you review the diff.

Change log

Every value change, who made it, and what it was before. This is what lets you walk a regression backwards.

Investigations

Describe what's going wrong. Suspect values are suggested from their recorded symptoms and dependency links, and you can dispatch testers to isolate one at a time.

Library

Assets, prompts, and the tools that made them.

Asset index

Links to Drive rather than storing files. Drive knows a model exists; it can't tell you which project uses it, what licence it carries, or whether a human touched it.

Prompt library

Tools & programs

What the studio makes things with, what each costs, and whether its output is cleared for commercial release.

Vault

Access, paperwork, and who signed what.

Credential registry

Who holds access to what. Never the secret itself — no passwords, keys, or seed phrases. Anything with a single holder is flagged, because one person leaving would take it with them.

Documents

IP assignments

Unsigned contributor work is the thing that kills an acquisition. Work made before the LLC exists belongs to whoever made it personally until it's assigned.

Unavailability

Duty, leave, or out of contact. Members marked unreachable are held out of quorum rather than stalling a vote indefinitely.
